This article guides you through the initial setup of ShiftX, explaining how to connect it to your Ardoq environment and specify which Ardoq components (like people, roles, and applications) you want to bring into ShiftX for use in process analysis.
Configuring Ardoq ShiftX should take no longer than 30 minutes.
You must be an Ardoq Admin to do the initial ShiftX configuration.
Permissions:
Reader: Read processes + Create drafts
Writer: Can read + Publish
Admin: Write + Setup + Configuration
Step 1: Setting up the Process Workspace in ShiftX
If you can’t find Shiftx in the sidebar of your ardoq instance - reach out to support or your CSM for activation.
The first step is to define which Ardoq workspace will contain the processes you model and activate in ShiftX. You have two options:
Start from Scratch: ShiftX can automatically generate a new workspace in Ardoq with the correct metamodel for you.
Map to an Existing Workspace: If you already have a workspace in Ardoq containing your business process data, you can connect ShiftX to it.
If Mapping to an existing workspace:
Select your desired Workspace, we recommend using a name such as business process workspace.
Choose the relevant Component Type that represents your processes.
Create References: Define the relationships you want to see between subprocesses and processes within ShiftX.
Required Fields: Ensure the workspace selected (or the new one generated) includes fields for:
Status: To track the current state of processes (This must be a text field)
URL: To enable easy navigation between ShiftX and Ardoq
Step 2: Specifying Components to Bring into ShiftX
Next, you determine which types of components from your Ardoq environment you want to utilize within ShiftX By default, no components are automatically brought in. This allows you to tailor ShiftX to your specific needs.
ShiftX categorizes components into four main types:
People, Roles, and Organization: This includes individuals, job functions, and organizational units.
Resources: This category can include anything, but typically we recommend connecting applications, tools, state entities, and other relevant assets.
2.1: How to configure the component import:
Create a Group: In ShiftX, start by creating a group for each component type you want to import (e.g., "People," "Roles," "Applications"). You can also assign a color to each group for better visual organization.
Set up Auto Configuration: For each group, you can create one or more auto-configuration rules. Each rule defines:
Source Workspace: The Ardoq workspace where the components reside.
Component Type: The specific Ardoq component type you want to import into this ShiftX group (e.g., "Person" for the "People" group).
Preview: ShiftX will show you a preview of the components that will be imported based on your configuration.
Create References: Define how the components in ShiftX relate to your process components in Ardoq. For example:
For the "People" group, you might create references like "Assigned To" or "Owns" that link from your Process Component workspace to the People workspace.
For "Applications," if you are using a BPM solution in Ardoq, the typical direction of the "Application" reference is from the Process component to the Process Actor component. Be mindful of this direction if you are using the same Ardoq workspace for your BPM solution.
After successfully importing your components into ShiftX, you'll see them organized within Component groups in the left-hand sidebar.
By following these steps, you'll have ShiftX successfully configured with your Ardoq data. These can now be used as you model processes with ShiftX. Just type the @ symbol in the description of any process step.
