By integrating with Microsoft Entra ID, you can set up scheduled imports of employee information—including names, email addresses, and profile images—directly into an Ardoq workspace.

Requirements for Using Microsoft Entra ID with Ardoq

  • You must be an admin of your Ardoq organization

  • You must grant permission to Ardoq to access Microsoft Entra ID user information through an Admin Consent Grant

Additionally, enabling the Managed Workspaces feature in Ardoq is recommended for keeping

Set Up the Integration

You will need to reach out to our customer support team for assistance through our in-app widget.

It is essential to provide the Ardoq support team with your tenant ID. This enables us to configure necessary backend settings, allowing non-SSO users to utilize the Entra ID integration effectively. Read more about finding your Entra tenant ID in Microsoft Entra documentation.

Once you have shared your tenant ID with our support team, please grant access so our support team can quickly get you set up.

Once granted access, please refresh Ardoq, and you should see a new connection under the “Connections” tab.

Select Data

After establishing a connection, your integration is ready for setup. At this stage, you can select the specific data you wish to import from your organization’s Entra ID account. Options include importing profile photos, which will be stored as component attachments.

Note: If you choose to import profile photos, the Display name and ID fields will be mandatory.

Configure Data

Map your data into Ardoq components and references following the usual process. You can read an in-depth mapping example in our Excel integration documentation.

Data Sync Strategy

When importing data into existing workspaces, you now have the option to either delete or update any existing data in the workspace that does not match the new data being imported.

With scheduled imports, any data that is removed from Entra ID will also be automatically removed from Ardoq upon the next scheduled import. This ensures that your Ardoq workspace remains consistently synchronized with the source data from Entra ID.

Review Import

After setting up your import, you can review key details such as the number of components created, the number of fields, and any errors that may have occurred.

If you need to make adjustments to the setup, remember to save the configuration. You can access your saved configurations from the Configurations tab on the Microsoft Entra ID integration home page.

Please be aware that profile photos are imported in the background, which may take some time to complete. Once the import is finished, the photos will be stored in the Document Archive. You will receive a notification once this process is complete.

Import Scheduling

Once you complete your import, you have the option to schedule it to run on a daily or weekly basis.

Managed Workspaces

When you schedule an integration, you can designate the workspace as a Managed Workspace. Managed workspaces do not allow manual changes to the data in the workspace — all updates to the workspace will come from the scheduled imports.

FAQ:

1. Handling Large User Data Imports from Microsoft Entra ID

If you'd like to pull only a subset of data from Microsoft Entra ID, you can configure a pre-fetch filter to fetch specific users. This can help reduce load times and prevent potential timeouts.

To enable this feature, contact our support team with the filter you'd like to apply. Please note that we only support filtering based on the User resource type and not on group filtering. You can find detailed instructions on creating a filter in the Microsoft Graph Filter Documentation and User Resource Type.
