Import User Data from Microsoft Entra ID (formerly Active Directory: People Data) into Your Ardoq Workspace

Easily populate your Ardoq workspace with user data from Microsoft Entra ID (formerly Azure Active Directory: People Data). Microsoft Entra ID is a Microsoft service designed to manage user identities and access across various applications and platforms. By integrating with Microsoft Entra ID, you can set up scheduled imports of employee information—including names, email addresses, and profile images—directly into an Ardoq workspace.

Requirements for Using Microsoft Entra ID with Ardoq

  • You must be an admin of your Ardoq organization

  • You must grant permission to Ardoq to access Microsoft Entra ID user information through an Admin Consent Grant

Additionally, enabling the Managed Workspaces feature in Ardoq is recommended to enhance functionality.

Set up the integration

1. Navigate to Import & integrations in the left-hand menu

2. Click the Microsoft Entra ID (beta) card.

3. When in the integration, navigate to Connections

Access Existing Connections: If you have previously set up a connection using the Azure Active Directory integration, you can find these under the "Connections" tab within the Microsoft Entra ID integration.

Setting Up a New Connection:

  • For Users Without Previous Connections: If you have not previously created a connection to Azure AD or Microsoft Entra ID, please reach out to our in-app customer support for assistance.

  • Share Tenant ID: It is essential to provide the Ardoq support team with your tenant ID. This enables us to configure necessary backend settings, allowing non-SSO users to utilize the Entra ID integration effectively

If you encounter any issues or need further assistance, please contact our in-app support team and provide the tenant ID from the "Connections" tab for a smooth setup process.

Once you have shared your tenant ID with our support team, please grant access so our support team can quickly get you set up.

Once granted access, please refresh Ardoq, and you should see a new connection under the “Connections” tab.

Select Data

After establishing a connection, your integration is ready for setup. At this stage, you can select the specific data you wish to import from your organization’s Entra ID account. Options include importing profile photos, which will be stored as component attachments.

Please note that if you choose to import profile photos, the “Display name” and “ID” fields are mandatory.

Configure Data

Begin by determining whether the table rows represent components or references. Next, select the target workspace where you wish to import the data.

Our latest update introduces the "Data Sync Strategy" feature for the importer. When importing data into existing workspaces, you now have the option to either delete or update any existing data in the workspace that does not match the new data being imported. With scheduled imports, any data that is removed from Entra ID will also be automatically removed from Ardoq upon the next scheduled import. This ensures that your Ardoq workspace remains consistently synchronized with the source data from Entra ID.

Review Import

After setting up your import, you can review key details such as the number of components created, the number of fields, and any errors that may have occurred.

If you need to make adjustments to the setup, remember to save the configuration. You can access your saved configurations from the "Configurations" tab on the Microsoft Entra ID integration home page.

Please be aware that profile photos are imported in the background, which may take some time to complete. Once the import is finished, the photos will be stored in the Document Archive. You will receive a notification once this process is complete.

Import & Schedule

You have the option to schedule automatic imports on a daily or weekly basis. On the setup page, you will receive an overview of the table that will be imported and the target workspace. Once everything is configured, simply open the workspace to begin visualizing your data.

When you schedule an integration, the workspace will be designated as a Managed Workspace. This classification imposes certain restrictions on editing components within the workspace. You can view all scheduled imports on the integration's home page under the "Schedules" tab.
