This guide sets out what you need to do to get started with the Enterprise AI Governance Solution. It should be read in conjunction with Enterprise AI Governance: Metamodel and Enterprise AI Governance: Purpose, Scope and Rationale.

This Solution builds on top of the Enterprise AI Management Solution, which uses a Technical Capability Model to define AI Capabilities and identifies the deployed systems and your Technology Catalog, if you have one, that meet the definition of an AI System. See Getting Started with AI Lens: Enterprise AI Management for details of how to deploy and configure this pre-requisite Solution.

Once you have the pre-requisite in place, your first step is to deploy the Solution by selecting it from the dropdown list of Solutions on the Ardoq Solutions page and hitting the Add solution materials button. This will deploy the Solution to your organization, including all the relevant assets. In addition to the workspaces that are used by the Enterprise AI Management Solution, this Solution makes use of two workspaces that come from other Ardoq Solutions:

If these are not already present, they will be created for you when you add this solution to your organization.

The Solution includes the ability to conduct AI Health Checks, which allow you to evaluate AI Systems against a set of quality criteria, which might represent your AI principles, policies or regulatory requirements. Before you can start conducting AI Health Checks, you need to define the evaluation criteria you will be using. An example set of AI Health Check criteria, in the form of a set of AI Principles, is available to import to your Ardoq organization. From the Import & Integrations page, select Frameworks & Resources and you can import the sample AI Principles Model. This will create a workspace with the same name containing a sample set of AI Principles. To work with the survey, you need to move the imported principles to the Policies, Principles, and Standards Workspace. The easiest way to do this is to open both the imported AI Principles Model and the Policies, Principles, and Standards workspaces at the same time.

To copy the AI Principles from the AI Principles Model workspace to the Policies, Principles, and Standards workspace, simply drag the AI Principles Information Artifact component from one workspace to the other, confirming that you wish to copy that component, and its children. You can now delete the AI Principles Model workspace, since it has served its purpose as a placeholder for the imported model.

If you have a Technology Catalog, having deployed the Technology Portfolio Management Solution, you should already have configured it to work with your deployment of the Enterprise AI Management Solution, which is a pre-requisite for this Solution.

As you did in that configuration, you also have to add the Technology Product Catalog workspace to one report that comes with this Solution: AI Systems including compliance status.

As before, edit the report in the Report builder and click in the box headed Which workspaces should your data come from?. Start typing Technology Product Catalog, and the option will appear in a drop down list. Select it, and it will be added to the other workspaces from which the report’s data will be drawn, then click Save changes to save the new version of the report.

The Solution includes automated processes that will send reminders to the owners of AI Systems that current AI compliance assessments and AI health checks are approaching their end of life. If you wish to switch on these processes you need first to configure then launch their corresponding Broadcasts.

This Broadcast will notify IT System owners that there are live compliance assessments associated with their systems that will shortly reach end of life. Before you launch the Broadcast, which will set this automated process running, you need to edit the message text in the Broadcast builder.

Replace the text, highlighted in blue in the above screenshot, with the URL for a new Record an AI Compliance Assessment Survey, and save then launch your Broadcast. This URL is unique for each Ardoq customer, hence it is not possible to configure this message automatically.

Similarly, if you are using AI Health Checks, you can switch on an automated process that will notify AI System owners that their AI Health Checks are about to expire. Before you launch this Broadcast, you must configure it by updating the message text in the same way. Edit the message text of the Broadcast in the Broadcast builder, and replace the text highlighted below with the URL of a new Conduct AI Health Check Survey for your organization. The recipient of the message will then be able to click on that link and run a new AI Health Check for the AI System(s) that are up for renewal.

If you’re using the Technical Debt Management Solution, you can extend the Conduct AI Health Check Survey to enable you to create new Debt Item components when they are identified during a Health Check.

Edit the Survey in the Survey builder and add a new Reference question inviting the user to add new Debt Items or link to existing ones. Select an outgoing Refers To reference to Debt Item components in the Technical Debt workspace and ensure that you’ve allowed users to Create new components. Move the question to wherever you want it to appear in the list of questions, and save your updated Survey. You will now be able to add new technical debt items whenever you run an AI Health Check, and can subsequently use the Capture details about new Debt Item Survey to quantify the new Debt Items.
