How to Track Changes Done by Survey Recipients

Learn how to track changes to the components made through surveys and how to subscribe to a daily digest email to stay informed.

Ardoq Surveys provide an excellent means to gather information from diverse stakeholders within your organization. Many of our customers run numerous surveys daily, making it challenging to monitor all the changes introduced by stakeholders to the enterprise architecture (EA) after they submit their responses.

In this quick guide, we'll demonstrate how you can use survey response log and survey notifications to effectively track changes in Ardoq.

Overview

Survey Response Log: How to Track All Changes Made to Components Through a Survey

Every survey in your organization includes a response log that lists the changes made to the components of your survey.

To access a survey's change log, follow these steps:

  1. Navigate to the Survey Overview page.

  2. Click on the three dots menu next to the survey for which you want to view the changes.

  3. Click on "Response Log."

Later we'll tell you how you can subscribe to survey notifications email so you will receive a daily digest of all changes made through a survey.

In the popup window, you will find the following updates:

  • Updated: Review changes made to the fields of your survey components, including previous and current state, when it was done and by whom.

  • New: View the list of new components created through this survey.

  • Deleted: See the list of components deleted via this survey.

You can also search for the name of a component to view historical changes specific to that component.

Survey Notifications: How to Track Daily Changes via Email

How to Enable Survey Notifications

  1. Navigate to the survey you want to receive updates about.

  2. In the Survey Details section, turn on the Get notified about the responses toggle.

  3. You can select recipients by clicking on "Modify receivers" and from the list of the admins of your org, select those who you want to receive this notification.

    The survey digest email will arrive in your inbox once in 24 hours:

With Survey Notifications you’ll receive daily email notifications with information on:

  • The number of components that have been changed by the survey recipients

  • How these components have been changed

  • Who has changed them

  • New components created by survey recipients, if any

  • Components deleted by the survey recipients if any

  • The list of top contributors to this survey

Please keep in mind that you will only receive notifications about the field question changes, not the reference questions.

How to Unsubscribe From Survey Notification Digests

There are two ways to stop receiving survey email digests:

1) navigate to the survey details window and switch off the Get notified about the responses toggle,

2) click the "Unsubscribe" link in the footer section of the email and log in to Ardoq.

How Often You Will Receive the Survey Notification Email

  • Currently, you can opt to receive survey digests on a daily basis only.

  • If there are no new changes from survey recipients to the EA data within the last 24 hours, you will not receive a digest email.

  • If you are subscribed to more than one digest email, you will receive a separate notification email for each of your surveys.

If you’re using broadcasts to automate data crowdsourcing in your organization, you can get an overview of these changes on the broadcast overview page and by creating a dashboard.

Who Can View Changes Done to the Survey

Currently, only users with the "Administrator" role have the ability to access information in the Survey Response Log and subscribe to the Survey Digest email.
