In this article, we’ll take you through:

  • Why digitally-forward organizations recognize the impact of these capabilities.

  • See it in action: Demo video of Broadcasts in Ardoq.

  • A unique, data-driven way of engaging stakeholders that benefits everyone.

  • The 5 elements of your Broadcasts.

Collaboration is key to building trust and data confidence when collecting and distributing information across the organization. However, reaching the right people and keeping them engaged means sending the right message at the right time that speaks to their specific context.

So, the question becomes, how can I send personalized messages that give me the highest quality insights quickly and at scale?

This is why we built the highly configurable Broadcasts in Ardoq - so you can automatically identify which messaging should go to which person and when, based on your data.

Broadcasts is Ardoq’s highly-configurable automated messaging platform. Using Broadcasts, Ardoq administrators can:

  • Send out Survey invitations and reminders to collect and update data

  • Set up data-driven Alerts to inform stakeholders of changes in reports and metrics or drive targeted actions

  • Build Workflows to orchestrate tasks between different team members.

Broadcasts can send out everything from mass-mails inviting your whole organization to contribute to a survey to micro-targeted personalized alerts only sent under specific conditions.

Uniquely, Broadcasts can use the structure of your architecture models themselves to route the right messages to the right people.

Because it is integrated with the Ardoq platform, Broadcasts can be used with Surveys, Integrations, Calculated Fields, Presentations, Dashboards, Ardoq Discover and other Ardoq features to deliver a huge range of organizational missions.

Broadcasts allow architecture teams to scale their communications and reach out to an ever-growing list of stakeholders while keeping those messages relevant to each recipient.

Here is the structure of the broadcast email and the main content elements. To make it effective, think about your audience when customizing it.

A Unique Way to Build Data-Driven Messages

Your stakeholders are more likely to dismiss or ignore your data-collection messages if they receive the same thing that goes to everyone else and doesn’t speak to their personal interests.

It’s important to identify who receives your message and under which conditions. This is where the unique, granular targeting capabilities of Broadcasts stand out.

Broadcasts are driven by the data you populate into Ardoq. Essentially, the same properties you use for heat-mapping a visualization or reporting in a dashboard can also be used to trigger a Broadcast.

Likewise, the same components and references you create in your architecture models can also be used to route messages to the right recipients. Ardoq enables you to build your stakeholder map directly into your architecture models, and Broadcasts can use that map to route and personalized communications.

For example, you can traverse a business process model to find who the downstream process owners are and send them alerts; and you can add somebody to a Broadcast audience simply by drawing a reference between that person and another component in the user interface.

Broadcasts enable you to use powerful graph queries to build highly-targeted messaging only sent to the most relevant stakeholders.

This sophisticated targeting capability means you avoid spamming and helps guide your stakeholders to what matters most to them instead.

And because you can use Broadcasts to send out Surveys to collect even more data, it creates a ‘virtuous circle’ of user interaction.

The Makeup of a Broadcast

Each Broadcast consists of five basic elements:

  1. Broadcast Content and one or more Filter Rules - the asset you want to send out (i.e., a Survey, Message, or Report) as well as a set of dynamic rules that determine which Ardoq data will be included in that Survey or Message.

  2. One or more Audiences - these determine who receives the Broadcast. Audiences can be fixed (i.e., named groups or individuals), dynamic (i.e., recalculated for each Broadcast run using predefined rules) or both.

  3. A Message - this tells audience members what the purpose of the Broadcast is and what actions they need to take. The message can be fixed or use dynamic parameters to tailor the message content to each recipient.

  4. A Schedule - this determines when and how often the Broadcast will run and whether reminders will be sent.

  5. A Tracking Event - this enables Ardoq administrators to monitor the effectiveness of their Broadcast.

Simple Broadcasts can quickly be set up by users with little experience of Ardoq.

Broadcasts can also be used to deliver advanced requirements:

  • By using a more sophisticated filter and audience-building rules, you can build highly-targeted Broadcasts that precisely route messages based on people’s interests or responsibilities, wherever they sit in your organization.

  • By combining multiple Broadcasts, you can build multi-step workflows that route tasks between different team members based on conditional logic.
