How to Get Started With the New BPMN Workspace Template:
1. Log into the Ardoq app and go to Home.
2. Click on Create new and select Workspace.
3. Under Business, go to the Choose button under the Business Process Model and Notation (BPMN) template.
4. Name the workspace and click Save.
How to Start Creating a BPMN Process in This Template
1. To start creating a BPMN process, first, create a BPMN process this acts like a diagram name, where you can create other BPMN components as children. Use Grid Editor to give a name and select Type BPMN Process
2. Select your new BPMN Process and use the Grid Editor to create its child components such as Start Events, End Events, Gateways, etc.
3. Create a Start Event using the Grid Editor. Make sure to select the correct type. Repeat this step to create other components.
4. Once the components have been created, use predefined references such as Sequence Flow to connect the components. Inside the Grid Editor select the References tab where you can create references between components. You will need to select Source, Reference, and Target.
*Note - BPMN also comes with Message Flow reference which can be used for Data or other BPMN components.
5. Once references are created, select Start Event and then change to Swimlane view to view the flow.
How to Group Components by Roles (BPMN Lane by Roles)
To group BPMN tasks, Events, Gateways, and other components, you need to create a Roles workspace and then references between Roles and BPMN components.
1. Create Role workspace
2. Rename the Roles GDPR workspace to Roles and select Save.
3. Add Roles to the workspace using the Grid Editor.
4. Create a reference called “Owns” in the Roles workspace. To do this, select the Roles workspace, then go to the Sidebar Menu. Select Workspace, and then select Manage reference types and then, Save.
4. Create References from Role to BPMN components using Owns Reference type and do this for all the BPMN components.
*Please note that you will have to do this for all of the components in the BPMN model for example A role owns a gateway, end event, etc.
Once the References are created, use Perspectives to group by Reference and enable Reference formatting. Save this Perspective and click Apply before closing. Please note that to group by reference under Perspectives, you will need to have all the relevant workspaces open. For example, if you are grouping by Roles, then both the Roles and BPMN both workspaces need to be open.
1. Select Start Event in BPMN process, then select Perspective and Manage.
2. Navigate to the formatting Tab to enable text labels on references or components
3. Select Group Tab and group by Reference Roles
4. Select Workspace “Roles”, Type “Owns” and Direction “Outgoing”. This is to say From Roles Workspace select Owns Reference which is Outgoing Direction.
5. Save this Perspective, Apply, and Close
6. Click on Start Event again and under Swimlanes you will see it is grouped by Roles which creates a Lane as per BPMN notation.
How to Enable Display Text for References
This is when you have gateways and would like to view Yes or No on relevant references in Swimlane view
1. First, edit the Sequence Flow reference. Right-click on the Sequence Flow and select Edit properties.
2. Type Yes under Display Text and click Save.
3. Change the Perspective Formatting for references from “Reference Type” to “Display Text or Reference Type”. To do this, first select Manage under Perspectives in the Sidebar Menu.
4. Select the Formatting tab. nder Label Formatting, change the reference to Display Text or Reference Type. Then select Apply & Close.
